Privacy Policy and Authorization Form to Disclosure Personal Information

HELVIA PARTNERS, a pre-eminent international consultancy firmand its affiliates/subsidiaries throughout the world (collectively the “Company”), provide a comprehensive range of services and solutions in the field of executive search and management consulting to multinational groups and small-medium enterprises, across all industries.
The Company is strongly committed to protecting your privacy and as a result we have implemented the Privacy Policy detailed below as one of the measures to ensure all the personal information you provide is protected.
 
Our Commitment to Data Protection
The Company has enacted internal procedures that are reviewed and monitored on a regular basis to ensure that your information is used responsibly and in accordance with applicable laws. These procedures require that the collection, use and processing of personal data, both electronic and manual, complies with eight data protection principles which are incorporated in the European Data Protection Directive (95/46/EC) the “Privacy Directive”. These principles are that personal data will be:
  1. processed fairly and lawfully
  2. obtained for specified and lawful purposes
  3. adequate, relevant and not excessive
  4. accurate and, where necessary, kept up-to-date
  5. not kept for longer than necessary
  6. processed in accordance with the subject's rights
  7. protected by appropriate security measures
  8. only transferred abroad if an adequate level of data protection exist.
Upon request, you will be provided with the information about you thatthe Company holds. In addition, upon request, the Company as applicable will correct, amend, block or delete information about you that has been found to be inaccurate or incomplete.
 
The Information We Collect
The information we collect is: name, contact details, information related to professional qualifications and experience, labor contractual clauses, compensation package or any additional personal information you may have provided unsolicited in your curriculum vitae.
 
The Way We Use Your Information
 
We will not use the personal information you voluntarily provide to us for purposes other than those for which you were informed without first providing you with an opportunity to agree or otherwise limit any use for other purposes to which you have consented.
 
The Way We Secure Your Information
 
The Company employs reasonable precautions - at the highest current technical standard - to prevent your personal information from loss, misuse, unauthorized access, disclosure, alteration or destruction. We also take reasonable steps to ensure your information is reliable for its intended use, accurate, complete and current. This is achieved by storing your information in a secure electronic database that is a component of a computer system that has physical, electronic and supervisory procedures in place to ensure compliance with all electronic records regulations.
The Company also has a corporate policy in place that requires all personnel not to disclose personal information to any third party that is not entitled to have that information.
 
Transferring Your Information to a Third Party
 
In addition to sharing your personal information with appropriate Company employees, we may also share it with third parties such as clients for whom we work, affiliates, outsourced service providers, or regulatory agencies; but your information will always be protected under the terms of this Privacy Policy and applicable laws. This will be achieved by first ascertaining that there is a legal basis for sharing such information with third parties, including whether a third party is situated in a country outside of the European Economic Area (EEA). A second measure of assurance is to put in place appropriate contractual requirements to ensure the third party will provide the same level of privacy protection as required under the Privacy Directive.
 
The Way This Policy Is Enforced
 
If it becomes known that an employee of the Company , or a third party organization which has received your personal information is using or disclosing it in a manner contrary to this Policy the Company will take reasonable steps to prevent or stop this use or disclosure. Any employee who intentionally misuses or improperly discloses your information will be subject to disciplinary action which could include termination of employment.
 
How Your Dispute or Complaint May Be Resolved
 
Any questions, concerns or complaints regarding the use of your personal information should be directed to the Managing Partner. We will attempt to resolve any dispute or complaint relating to the misuse or improper disclosure of personal information by investigating it in accordance with the principles contained in this Policy. Appropriate corrective and preventive action will be implemented and follow-up on such action will be conducted to verify that the expressed concern or complaint has been resolved.
How You Can Access or Correct Your Information
You can ask us for a printout of your personal information that we maintain in our database, and ask us to revise, block or delete your personal information, except where the rights of other persons would be violated, where any other legal exemptions to subject access requests may apply, or where it is required to conduct company business. To protect your privacy and the security of your information, we will take reasonable steps to verify your identity before updating or removing your information. Changes To This Privacy Policy
 
This policy may be amended from time to time to ensure consistency and compliance with changes in the Law or in statutory requirements. The current version can be obtained by contacting the Managing Partner using the contact information presented above.
 
 
 
Authorization To Disclose Personal Information
 
By signing the informed consent statement below, you are agreeing to the following:
 
I.    I hereby authorize that HELVIA PARTNERS and its subsidiaries/affiliates throughout the world (collectively the “Company”) and any third party entity representing the company can use, process and transmit the personal information I voluntarily provided to them.
II.    I am aware that the Company is the controller of my personal data and I have been informed in the above Privacy Policy of the purposes for which my data will be used and possibly transferred to a third party.
III.    I authorize my personal data, and other information I may provide, to be used for the following purposes:
a.     To disclose my personal data to other Company entities and contractors working on behalf of the Company including regulatory bodies throughout the world.
b.    To transfer my personal data to the above mentioned persons or entities located inside and/or outside countries in Switzerland and the European Economic Area (EEA), only if there is a proper legal basis for making such transfer including the taking of steps to ensure an adequate level of data protection as provided for by the Privacy Directive
c.     To hold my personal data in a personnel database
 
IV.    I am aware that if the company plans to share my personal data with someone not mentioned under item III, the company will contact me and ask for my approval to do so before sharing these data. In case of queries I can notify contact person mentioned above.
